Someone finds your practice on Google, Instagram, or a friend's recommendation. They send a message asking about availability or pricing. Then they wait.

If you don't reply within minutes, there's a good chance they've already moved on to the next dentist on the list. New-patient inquiries are won or lost in that first window — and for most small dental practices, that window slams shut before the front desk even sees the message.

1. Reply within five minutes, every time

Research across service businesses consistently shows that responding within five minutes makes you dramatically more likely to convert a lead than responding even 30 minutes later. A potential patient who just messaged you is still on their phone, still in "find a dentist" mode. The moment they put the phone down, your odds drop.

This doesn't mean you need to hire someone to monitor messages around the clock. It means you need a system — an auto-response that feels personal, not robotic — that buys you time and keeps the conversation alive until a human can follow up.

2. Answer the questions they're actually asking

Most new-patient messages are some version of: Do you take my insurance? How much is a cleaning? Are you taking new patients? What's your earliest opening?

Don't make them wait for basic information. Prepare short, honest answers to your top five questions and have them ready to send the moment someone reaches out. Include:

  • Whether you're accepting new patients
  • Which major insurance plans you take (or that you offer self-pay options)
  • A real ballpark for your most common services
  • How to book — and make it one step, not three

Answering these upfront removes friction. Friction is what sends people to your competitor.

3. Make booking the next message, not a separate journey

Too many practices respond to an inquiry and then send the person to a website to find the booking portal, create an account, and pick a time. That's three steps too many.

When you reply, include a direct link to your scheduling tool — or better yet, offer to book them right there in the conversation. Something like: "We have a Tuesday at 10 a.m. or a Thursday at 2 p.m. — want me to grab one of those for you?" That's a conversation. It feels easy. Easy converts.

4. Follow up once if they go quiet

Someone asks about availability, you reply, and then — nothing. Don't assume they found another dentist and move on. People get busy. They meant to reply and forgot.

Send one follow-up 24 hours later. Keep it short and human:

"Hey! Just wanted to make sure you got my message about availability. Happy to hold a spot for you — just let me know."

That's it. One follow-up. No pressure, no pushy sales language. A lot of appointments get booked on the follow-up that would have been written off as a lost lead.

5. Warm up the relationship before they walk in

Once someone books, most practices go quiet until the day of the appointment — and then half of them don't show up. A short confirmation message right after booking, a reminder two days before, and a quick "we're looking forward to seeing you tomorrow" the night before can cut your no-show rate significantly.

  2. Two-day reminder — gives them a chance to reschedule if needed
