Fill a last-minute cancellation slot fast

Turn an empty chair into a booked appointment before the day gets away from you.

A cancellation call at 8 a.m. for a 10 a.m. slot stings. You're already prepped, your hygienist is already there, and every empty chair is money your practice just doesn't get back. The problem isn't that patients aren't available — it's that you rarely have a fast, consistent system to reach the right ones at the right moment.

These five tactics will help you fill that slot before it becomes a write-off.

1. Keep a live short-notice list

Most cancellations fill themselves — if you have a list of patients who want to be called. Ask every patient at checkout: "Would you like to be on our short-notice list? We'll text you when a same-day or next-day slot opens up." The answer is almost always yes.

Keep that list somewhere your front desk can access in under 30 seconds — not buried in your practice management software three menus deep. A simple shared note, a WhatsApp group message draft, or even a printed sheet updated weekly works. The format matters less than the habit.

2. Text before you call

Calling patients mid-morning is a coin flip — most won't pick up. A text message, on the other hand, gets read within three minutes on average. When a slot opens, send a short, specific message:

  • Name the date and time: "We have a slot open today at 10 a.m."
  • Make it easy to say yes: "Reply YES and we'll confirm you right away."
  • Keep it under two lines — no one reads a paragraph from their dentist.

Send to your top five or ten short-notice candidates at once. First to reply gets the chair.

3. Post to your Google Business Profile immediately

Your Google Business Profile has a "What's New" post feature that most dental practices ignore completely. A quick post — "We have a last-minute opening today at 10 a.m. — call us now to grab it" — shows up when nearby patients search for a dentist. People searching for a dentist are often people who need one now.

This takes about three minutes and costs nothing. You don't need to design anything — plain text with a phone number works fine. Delete the post once the slot is filled so it doesn't sit there looking stale.

4. Reactivate patients who are overdue

Check your recall list for patients who are six months or more overdue for a cleaning or check-up. These are people who need to come in, already have a relationship with your practice, and are more likely to say yes than a cold lead. A simple message works:

"Hi [Name], it's [Practice Name] — we noticed you're due for your check-up and we actually have an opening today at 10 a.m. Would you like to grab it?"

Overdue patients often feel a little guilty about falling behind. A warm, low-pressure nudge at the right moment converts surprisingly well.

5. Train your front desk to do this in a set order

Speed matters more than creativity here. When a cancellation comes in, your front desk shouldn't be deciding how to respond — they should be running a checklist they've done a dozen times before. Write it out and post it at the desk:

  1. Check the short-notice list first — text the top 5–10 patients.
  2. Post to Google Business Profile.
  3. Message overdue patients who match the slot time (e.g., early morning slots suit school-run parents less than retirees).
  4. Call patients from the short-notice list who haven't texted back after 15 minutes.
  5. If still unfilled 45 minutes before the slot, offer it to a walk-in or bump up a waitlisted new patient.

A written process means the slot gets worked every single time — not just when your best front-desk person happens to be in that day.

Reaching out to patients, drafting posts, and working through a recall list all take time your team doesn't always have mid-morning chaos. That's exactly the kind of task you can hand off to a Sidekyk. Send a quick WhatsApp message — "We just got a cancellation at 10, help me fill it" — and your Sidekyk can draft the patient texts, write the Google post, and pull together a shortlist of overdue patients for you, all while your front desk keeps the phones moving. Try it at sidekyk.ai.
