A simple message like "Your 2024 dental benefits expire in 6 weeks — let's make sure you don't leave money on the table" in November consistently outperforms generic reminders. Connect the booking to something they already care about.

4. Follow up exactly once more, then stop

The mistake most practices make is either following up too many times (annoying) or not enough (leaving bookings on the table). One follow-up, sent 5–7 days after the first message if there's no reply, is the sweet spot.

The follow-up should acknowledge the first message briefly and make it even easier to say yes:

"Hey Sarah — just circling back on my message from last week. No pressure at all, but if you'd like to come in, I can book you in 30 seconds right here. Just say 'yes' and I'll sort the rest."

After two touches with no response, remove them from the active recall campaign and move them to a lighter annual check-in. Respect goes a long way.

5. Track your reactivation rate, not just bookings

A booking is the goal, but your reactivation rate — the percentage of contacted lapsed patients who book within 30 days — is what tells you if your messaging is working. Aim for 15–25% as a starting benchmark.
