Reactivate patients who haven't booked in 12 months

Practical tactics to win back lapsed dental patients before they book with someone else.

Every dental practice has a graveyard in the patient database — people who came in once or twice, had a good experience, and then quietly drifted away. After 12 months without a recall booking, most of them haven't switched to a competitor yet. They're just busy, a little guilty about the gap, and waiting for a good reason to come back.

The good news: reactivating a lapsed patient is far cheaper than acquiring a new one. You already have their name, number, and treatment history. You just need to reach out the right way, at the right moment, with the right message.

1. Segment before you send

Don't blast your entire lapsed list with the same message. A patient who missed one recall and a patient who hasn't been in for three years need very different outreach.

Pull your list into at least two buckets:

  • 12–18 months lapsed — still warm. They likely intended to rebook and forgot. A friendly nudge is enough.
  • 18 months+ — cooler. They need a stronger reason to return: a fresh start message, a specific offer, or a reassurance that there's no judgment about the gap.

Segmenting takes 20 minutes but will double your response rate because the message actually fits the person reading it.

2. Lead with care, not a sales pitch

The biggest mistake practices make is sending a message that feels like a marketing email. "We miss you! Book now and get 10% off!" reads as desperate and transactional.

Instead, open with genuine concern for the patient's health. Something like:

"Hi [First name], it's been a while since we've seen you at [Practice name]. We just wanted to check in — it's been over a year since your last visit, and we'd love to help you get back on track. No pressure, just here when you're ready."

That tone disarms the guilt most lapsed patients feel about the gap. Once they feel safe, they're far more likely to reply. A warm, human message will always outperform a promotional one.

3. Use WhatsApp or SMS as your first channel

Email open rates for dental recall campaigns typically sit around 20–30%. WhatsApp and SMS open rates sit closer to 90%. For a reactivation campaign where you need the message to actually be read, start with the channel people already check a dozen times a day.

Keep the message short — three to five sentences max. Include:

  1. Who you are (practice name)
  2. Why you're reaching out (it's been a year)
  3. One clear next step (reply to book, tap a link, or call)

Don't attach a PDF brochure. Don't include a wall of text. The goal of the first message is just to get a reply — then you can have a real conversation.

4. Follow up twice before you give up

Most practices send one message, hear nothing, and write the patient off. That's leaving real revenue on the table. A lapsed patient who doesn't reply to your first message isn't saying no — they're saying "not right now" or "I missed this."

A simple three-touch sequence works well:

  • Day 1: The warm check-in message (see Tactic 2 above)
  • Day 5: A short follow-up referencing the first message — "Just wanted to make sure you saw this. Happy to answer any questions too."
  • Day 14: A final message that creates gentle urgency — "We have a few recall slots opening up this month — let us know if you'd like one of them."

After three touches with no response, move the patient to a quarterly newsletter list. Don't spam them. Some people need six months before they're ready to act.

5. Make booking frictionless the moment they respond

A patient who replies to your message is at peak motivation. If they have to wait 24 hours for someone to call them back with available times, that motivation evaporates fast.

Reduce the steps between "I want to come in" and "I'm booked" to as few as possible:

  • Have a direct booking link ready to send the second they show interest
  • If you're taking bookings manually, respond within the hour during business hours
  • Confirm the appointment immediately with the date, time, and a reminder about what to bring

The easier it is to book, the fewer patients fall back out of the funnel at the last step.

Running a reactivation campaign well means writing the right messages, segmenting your list, timing the follow-ups, and jumping on replies fast. That's a lot to manage on top of running a full patient schedule. A Sidekyk can handle all of it for you via WhatsApp — drafting the outreach messages, sending follow-ups, and flagging warm replies so you or your front desk can close the booking. If you've got a lapsed patient list gathering dust, chat with a Sidekyk at sidekyk.ai and let's put it to work.
