Tactic 1: Lead with their name and a specific timeframe
Generic blasts get ignored. A message that references when they were last seen feels personal — because it is.
Template (text or WhatsApp):
Hi [First Name] — it looks like it's been about [X months] since your last cleaning with us. We want to make sure you stay on track! We have a few spots open this week and next. Want me to grab one for you? Just reply "yes" and I'll send you options. 😊
Keep it short. One ask. One easy action. The "just reply yes" line removes friction — they don't have to call, navigate a booking portal, or remember your number.
Tactic 2: Send a three-touch sequence, not a single reminder
One message gets missed. A sequence gets results. Space these out so you don't feel spammy:
- Day 1 (6 months after last visit): The friendly heads-up (template above).
- Day 5 (if no reply): A one-liner follow-up. "Hey [First Name], just wanted to bump this up in case it got buried — we'd love to get you in. Any day next week work for you?"

Patients procrastinate when there's no reason to move today. Give them one — without being alarmist.
A few lines that work well:
- "We just had a cancellation open up — first come, first served!"
- "We're booking out fast for [month], so grabbing a slot now saves you the wait."
- "It's the end of the year — a great time to use any remaining dental benefits before they reset."
