The exact message to send a lapsed salon client
Win back clients who haven't booked in 90 days with messages that feel personal, not pushy.
You notice the name. You did their colour twice, maybe three times. They loved it. Then — nothing. It's been 90 days and they haven't rebooked.
This happens in every salon. Life gets busy, people forget, or they feel a little awkward reaching out after a gap. The good news: a single well-timed message is usually all it takes to bring them back. Here are five tactics — including the exact words to use.
1. Lead with their name and a specific memory
Generic "We miss you!" blasts get ignored. A message that references something real cuts through instantly.
The goal is to make the client feel remembered, not marketed to. One or two personal details do most of the work.
"Hi [Name]! It's [Your Name] at [Salon]. I was thinking about the balayage we did back in spring — it suited you so well. It's been a little while and I'd love to get you back in. Want me to grab you a spot?"
Short, warm, specific. No discount needed at this stage — just genuine acknowledgment.
2. Give them an easy reason to come back now
People procrastinate when there's no reason to act today. A light, honest nudge moves them from "I should book soon" to actually booking.
This doesn't have to be a big promotion. A genuinely limited opening works just as well:
"Hi [Name]! We've had a couple of cancellations this week and I immediately thought of you. I have a Tuesday at 2 pm or Thursday morning free — want one of them? No pressure, just thought I'd check before I fill them!"
Urgency without pressure. It feels like a favour, not a sales pitch.
3. Offer a small, relevant incentive — once
If the first message gets no reply after a week, it's fair to add a gentle sweetener. Keep it tied to something they actually had done before.
Don't stack discounts or send multiple offers — that trains clients to wait for deals. One offer, clearly tied to a reason:
"Hey [Name]! We're running a loyalty treat this month — anyone who hasn't been in for a while gets 15% off their next colour service. Thought of you straight away. Want me to book you in?"
Frame it as something they earned by being a loyal client, not a desperate plea to fill a chair.
4. Make booking take zero effort
The biggest reason lapsed clients don't rebook isn't price or loyalty — it's friction. They mean to book but never get around to it.
Remove every possible step between your message and a confirmed appointment:
- Offer two or three specific time slots, not "let me know when works"
- Accept a simple "yes, Thursday!" as confirmation
- Follow up with the details so they don't have to do anything else
"Hi [Name]! I have Thursday at 11 am or Friday at 3 pm free next week — which works better? Just say the word and I'll lock it in for you."
The easier you make it, the higher your rebound rate.
5. Know when to let go (for now)
If you've sent two messages over two to three weeks and heard nothing, stop. Sending a third message tips from warm outreach into spam — and that's hard to recover from.
Move them to a quieter list and include them in your next seasonal campaign instead. A Christmas or summer message to your whole client base lets them re-engage on their own terms, with no awkwardness attached. Sometimes clients come back six months later simply because you respected their silence.
Keeping track of who's lapsed, drafting personal messages, following up at the right time, managing replies — that's a lot of admin to layer on top of an already full day at the chair. A Sidekyk can handle all of it for you via WhatsApp: spotting the 90-day gaps, drafting the right message for each client, and chasing replies so no one slips through. Send a message to sidekyk.ai to see how it works.
