Cut no-shows in half with a WhatsApp reminder sequence
A simple 3-message WhatsApp sequence that keeps salon chairs full and last-minute gaps to a minimum.
Empty chairs cost real money. A no-show at a busy salon isn't just an awkward gap in your day — it's a booking someone else could have filled, product you prepped, and time you can't get back. Most no-shows aren't malicious; clients simply forget, and nobody sent them a nudge at the right moment.
The fix isn't a deposit policy (though that helps). It's a consistent, warm reminder sequence sent through the app your clients already use every day: WhatsApp. Here's exactly how to build one.
Tactic 1: Send a confirmation message the moment they book
The first message in your sequence goes out immediately after the appointment is confirmed — not hours later, right away. It should:
- Confirm the date, time, and service (e.g. "cut & colour with Maya, Thursday 14 Aug at 2 pm")
- Include your salon address or a Google Maps link
- Tell them what, if anything, to arrive with (e.g. "come with dry hair if you can")
This message does two things: it locks the booking into the client's memory, and it opens a conversation thread so future messages feel like a natural follow-up, not spam.
Tactic 2: Send a 48-hour reminder that invites a reply
Two days out is when life gets in the way. Work meetings get rescheduled, school runs shift, and clients suddenly realise they need to move their appointment — but they don't bother telling you unless prompted.
Send a short, friendly message at this point and explicitly ask for a reply:
"Hey [Name] 👋 Just a reminder you're booked in with us on Thursday at 2 pm for your cut & colour. Still works for you? Reply YES to confirm or let us know if you need to reschedule — we're happy to help!"
That call-to-action ("reply YES") is important. It takes five seconds for the client and gives you a real-time headcount of who's solid and who's wobbly. Anyone who doesn't reply moves to the next step.
Tactic 3: Send a same-day morning nudge
The morning of the appointment, send one more short message — ideally between 8 and 9 am. Keep it light and warm, not chasing:
"Morning [Name]! Looking forward to seeing you today at 2 pm. 🙌 We're at [address] — see you soon!"
This message catches the people who genuinely forgot overnight. It also gives them a final, low-pressure chance to let you know if something's changed, giving you a few hours to fill the slot rather than staring at an empty chair at 2:01 pm.
Tactic 4: Have a cancellation-slot message ready to fire
When a gap does open up — because of a late cancel or a no-show — have a pre-written "any takers?" message you can blast to a short waitlist in seconds. Something like:
"Hey! We've just had a cancellation for this afternoon at 2 pm. First to reply gets the slot! 💇♀️"
Keep a small WhatsApp group or a saved list of clients who've said they're flexible. This isn't the reminder sequence itself, but it's the natural companion to it: the reminder reduces gaps, and this message fills the ones that still slip through.
Tactic 5: Tweak your timing based on what you learn
Run the sequence for four weeks, then look at two numbers: your no-show rate before and after, and which message gets the most replies. Most salons find the 48-hour message is the highest-leverage one — so if you can only do one, do that.
From there, experiment:
- Move the 48-hour message to 72 hours if clients keep saying they can't reschedule in time
- Try sending the morning nudge at 7:30 am instead of 9 am for clients with early commutes
- Add a brief "what to expect" note for first-time clients who may be nervous about a new salon
Small tweaks compound quickly. Dropping from 4 no-shows a week to 2 is an extra 8+ appointments recovered per month.
Setting up and running this sequence manually every day is exactly the kind of task that drains a salon owner's time without feeling like "real" work — even though it absolutely is. Your Sidekyk can handle the whole thing for you over WhatsApp: scheduling reminders, following up on non-replies, and messaging your waitlist when a gap opens. Tell your Sidekyk how your booking flow works and let it keep your chairs full while you focus on the chair in front of you. Try it at sidekyk.ai.
