Stop losing regulars over missed contact details
One forgotten phone number can cost you a loyal customer — here's how to fix the gap for good.
Your best customers are the ones who come back without being asked. But if your hostess forgets to grab a phone number during a busy Friday rush — or a walk-in leaves before anyone thinks to ask — that relationship has nowhere to go. No number means no reservation reminders, no birthday offers, no "we miss you" message when they haven't been in for a month.
This isn't a staffing problem. It's a systems problem. And it's fixable without adding more work to your floor team's plate.
1. Put a QR code on every table that does the collecting for you
A small tent card or sticker with a QR code can do what your hostess doesn't always have time to do. Link it to a simple form — just name, number, and maybe birthday month. Frame it as a loyalty sign-up ("Join our regulars club — get first dibs on specials and events") so guests feel a reason to scan, not surveilled.
This works especially well while guests are waiting for their first drinks. They have their phones out anyway. You collect the contact passively, without any staff effort at all.
2. Train your team on one ask, not a script
Don't give your hostess a paragraph to recite. Give her one sentence: "Can I grab your number so we can send you our specials?" That's it. One ask, said naturally, at the moment she hands over the menu or confirms the table.
The key is timing. Asking during a queue backup or while juggling a large party means it gets dropped. Build the habit around a calm, specific moment — like when the guest is seated and the hostess is about to walk away. Consistent moment, consistent ask.
3. Capture numbers at the point of payment
Your guests are already handing something over at the end of the meal — a card, cash, a phone for tap-to-pay. That's another natural window. A small prompt on the receipt or a verbal ask from the server ("We'd love to keep in touch — can I grab your number for our regulars list?") works well because the guest has just had the experience and is in a good mood.
Some POS systems let you add a phone number field to the customer profile at checkout. If yours does, turn it on and remind staff to use it. If it doesn't, a simple notebook or a shared notes doc works fine in the short term.
4. Use your existing bookings to fill the gaps
If guests book through OpenTable, Resy, or even a direct call, you may already have their number — it just lives in a system no one checks. Do a monthly pull of all reservation data and flag any repeat guests whose profiles are missing a phone number or email.
Next time they book, make getting that detail part of the confirmation process. A quick text back: "Thanks for booking! What's the best number to reach you on for any updates?" — feels helpful, not intrusive, and plugs the gap quietly.
5. Send a re-engagement message to guests you've already lost touch with
If you have a list of past diners — even a rough one — who haven't been in for 60 days or more, don't wait for them to come back on their own. A short, warm message goes a long way:
- "We've got a new menu — thought of you."
- "It's been a while. Table for two this weekend?"
- "Your usual spot is waiting."
You don't need a fancy CRM for this. A WhatsApp message, a text, or even a DM can bring a regular back. The point is to reach out before they've fully moved on to the place down the street.
Keeping regulars close is mostly about staying in contact at the right moments — and that's exactly the kind of ongoing, detail-heavy work that's easy to let slip when you're running a busy restaurant.
