1. Send the checklist at the same time every night

Consistency is everything. Pick a time — say, 30 minutes before your typical close — and send the same message every single night. When the reminder shows up like clockwork, staff stop waiting to be told and just expect it. It becomes part of the close, not an interruption to it.

The message doesn't need to be fancy. A numbered list in a WhatsApp message works perfectly. What matters is that it goes out without you having to think about it.

2. Keep the list to 10 items or fewer

A closing checklist with 40 line items is a checklist nobody reads. Audit your current process and ask: what are the things that, if missed, actually cost you money or create a safety issue? Those are your 10.

That one line is a paper trail. If something goes wrong overnight, you know who closed, when, and what they reported. It also makes staff more accountable without you having to hover.

4. Flag exceptions immediately, not the next morning

Tell your team: if something on the checklist isn't done — or if they spot a problem — they message you right then, not the next day. A walk-in running warm at 11 pm is fixable. A walk-in that's been warm all night is a food-cost disaster.

Create a simple rule: green means done, red means there's an issue and here's what it is. Most nights will be green. On the nights something's off, you'll be glad you heard at 11 pm.

5. Review the log weekly, not every night

Once the system is running, you don't need to read every message in real time. Set a weekly habit — Friday morning coffee, say — where you scroll back through the week's closing replies. You're looking for patterns: Is the walk-in temp creeping up on Tuesdays? Is one closer consistently missing items? Is the deposit note always vague?

That weekly review takes 10 minutes and gives you more operational insight than a month of showing up to spot-check in person.
