1. Get a dedicated WhatsApp Business number

Don't use your personal number. Full stop. You need a clean separation so you can hand this off later and so customers don't text you at 2 a.m. expecting a reply in three minutes.

Pick up a cheap SIM or a VoIP number (Google Voice works in the US; Hushed and Numero work in most markets), then register it with the WhatsApp Business app. This gives you a business profile, quick replies, away messages, and labels — all for free. If you're planning to connect an AI or automation layer down the road, you'll eventually migrate to the WhatsApp Business API, but the app is the right starting point for your first hundred customers.

2. Write a tight set of quick replies for your top 10 questions

Before you touch any automation, sit down and list the ten questions you've answered more than once in the last month. Things like:

  • "Why did my trial end early?"
  • "Can I get a refund?"
  • "What's included in the Pro plan?"

Write a short, plain-English answer for each one. Then add them as Quick Replies inside WhatsApp Business (Settings → Business Tools → Quick Replies). You type a slash, a keyword, and the full reply fills in. This alone cuts your response time by more than half and keeps your answers consistent.

3. Set an away message that sets expectations, not excuses

Customers can forgive a wait. They can't forgive silence with no explanation. Go to Business Tools → Away Message, turn it on, and write something human:

"Hey! Got your message. We reply within a few hours Mon–Fri. If it's urgent, tell me and I'll prioritize it."

That one message stops the follow-up "hello??" texts and signals that a real person (or a very good AI) is watching. Set your away hours to match when you genuinely can't respond, not just overnight.

4. Use labels to triage before it gets messy

WhatsApp Business lets you label conversations with colored tags. Set up four to start:

  • New — just came in, unread
  • Waiting on customer — you replied, ball's in their court
  • Bug / escalate — something's broken, needs more than a quick reply
  • Done — resolved

This sounds simple because it is. But without some kind of triage system, every conversation looks the same priority, you miss the urgent ones, and your inbox becomes a source of dread. Labels take ten seconds to apply and save you from that spiral.
