You nailed the demo. They said "this is exactly what we need." Then — nothing. No reply to your follow-up email, no returned call, just silence. If you sell any kind of AI product or service, this is probably your most common sales problem right now.
The issue isn't your demo. It's what happens in the 72 hours after it. Prospects are excited in the room, then they go back to their inbox, get buried, and the momentum dies. Here's how to keep it alive.
1. Send a "demo recap" within two hours
The longer you wait, the colder they get. While the demo is still fresh, send a short WhatsApp message or email — three to five bullet points — that recap exactly what you showed them and which of their specific problems it solves.
Don't send a generic "great meeting you!" note. Reference their name, their business, and the exact pain point they mentioned. Something like: "You said onboarding new staff takes two weeks — here's the part of what we showed you that cuts that to three days." Specificity is what separates you from every other vendor they met that week.
2. Give them one clear next step, not three options
Most follow-ups fail because they ask the prospect to make a decision instead of just take an action. "Let me know if you want to move forward" puts the cognitive load on them. They'll defer it forever.
Instead, end every follow-up with a single, small ask:
- "Can you share this recap with your ops lead before Friday?"
- "Can we book a 15-minute call so I can answer any questions your team has?"
- "Does next Tuesday at 2pm work for a quick check-in?"
One question. One action. That's it.
3. Follow up with something useful, not just a nudge
If you haven't heard back after three days, don't send "just checking in." That message has a near-zero response rate and quietly signals that you have nothing new to offer.
Instead, send something genuinely useful tied to their situation — a short case study of a similar business, a one-pager that answers the objection they raised in the demo, or even a quick Loom video walking through the one feature they asked about most. You're not chasing them; you're continuing to deliver value. That's a completely different energy, and prospects feel the difference.
4. Create a "pilot offer" they can say yes to cheaply
One big reason prospects ghost after AI demos: the leap from "impressed" to "signed contract" feels huge. They loved the demo, but committing budget and internal resources is scary — especially when AI still feels new and unproven to a lot of buyers.
Shrink that leap. Offer a short, low-cost or no-cost pilot — 30 days, one use case, one team. Frame it as: "Let's prove it works in your environment before you commit to anything." A pilot removes the risk that's keeping them quiet. It also gets your product embedded in their workflow, which is the strongest sales tool you have.
5. Set a "close or kill" date and tell them about it
Chasing a prospect indefinitely is a tax on your time and your confidence. Give every deal a quiet deadline — internally and, at the right moment, externally.
After two or three unanswered follow-ups, send one final note that's honest and respectful: "I want to be mindful of your time — if now isn't the right moment for this, totally fine. I'll close out this conversation on Friday unless I hear otherwise." This works for two reasons: it shows you respect their time, and it creates a low-stakes reason for them to reply. You'll either get a re-engaged prospect or a clear no — both of which are better than the limbo you're in now.
