Onboard a new AI tool client without 10 emails
Cut the back-and-forth and get new clients set up fast with a repeatable onboarding system.
You just closed a new client for your AI tool or service. Exciting — until the onboarding begins. Suddenly there's a thread of nine emails asking for login details, use-case clarifications, and "just one more question" before anyone can actually start.
This is one of the biggest time drains in AI businesses right now. The tool is supposed to save people time, but getting clients into the tool eats hours you don't have. Here's how to fix that.
1. Send one intake form before the first call
Most onboarding chaos starts because you're collecting information in real time — on a call, over email, or worse, in a WhatsApp voice note at 11pm. Stop that.
Before any kickoff call happens, send a single intake form. Ask for everything you'll need upfront: their business type, primary goal for the tool, current workflow, team size, and any existing logins they'll be connecting. Tools like Tally or Typeform take 15 minutes to set up and save you hours per client. Make it a non-negotiable step before the calendar invite is confirmed.
2. Build a one-page "start here" doc
Once a client is signed, they need to know exactly what happens next — without having to ask you. A single Google Doc or Notion page with the following does the job:
- What you need from them (and by when)
- What you'll do first (and when they'll see it)
- How to reach you with questions (one channel only — pick one)
- What success looks like in week one
Send this the moment the contract is signed. It sets expectations, reduces inbound "just checking in" messages, and signals that you run a tight operation.
3. Use a short loom video instead of a written walkthrough
Written instructions for AI tools almost always generate follow-up questions. People skim, miss steps, and get stuck. A 3–5 minute Loom video walking through exactly how to use the tool — their specific setup, not a generic demo — cuts support requests dramatically.
Record it once you've done their initial configuration. Show the actual interface, narrate what each button does, and tell them what not to touch. Drop it in the "start here" doc and reference it in your onboarding message. Most clients will watch it twice and never need to ask the basics again.
4. Set a single "questions day" in the first two weeks
Async questions are fine. Async questions scattered across two weeks of random emails are not. At the start of onboarding, tell the client: "Collect any questions that come up and we'll go through them together on [specific day]."
This batches support into one focused session instead of 15 interruptions. It also trains clients to be more self-sufficient — half the time, they answer their own questions before the day arrives. You can run this as a 20-minute video call or even a WhatsApp voice note exchange. Either works. The key is that it's scheduled, not reactive.
5. Automate the access and credential handoff
Chasing clients for API keys, passwords, and account access is where onboarding threads really spiral. Build a simple checklist — or better, a short automated sequence — that requests everything in one go.
Use a tool like LastPass, 1Password Teams, or even a shared Google Sheet with clear field labels. Send it on day one with a deadline ("please complete by Thursday so we can begin setup on Friday"). When the deadline lands and it's not done, one follow-up message goes out automatically. You don't chase twice. This one boundary alone will halve your onboarding timeline.
Repeatable onboarding is how you scale without burning out. But even building these systems takes time you might not have right now. That's exactly the kind of operational work you can delegate to a Sidekyk — your AI assistant on WhatsApp. Send a message describing your onboarding flow, and your Sidekyk can help you draft the intake form, write the "start here" doc, and build out your follow-up messages — no context-switching, no new app to learn. Just chat at sidekyk.ai and get it done.
