Turn "we need to think about it" into signed contracts

A practical follow-up sequence that moves hesitant prospects from "maybe" to "yes" without being pushy.

"We need to think about it" is the polite way of saying nothing has been decided yet. It's not a no — but left alone, it almost always becomes one.

The problem isn't the prospect. It's the follow-up (or lack of it). Most small-business owners send one check-in email, hear nothing, and quietly move on. The deals that could have closed just… evaporate. Here's a sequence that doesn't let that happen.

1. Send a value recap within 24 hours

Strike while the conversation is still fresh. The day after your proposal meeting, send a short message — not a pushy "just checking in," but a crisp recap of what you discussed.

Include: the specific problem they mentioned, the outcome you promised, and the exact next step. Three bullet points max. Keep it under 150 words. The goal is to remind them why they were interested in the first place, not to sell again. Subject line: "Quick recap from yesterday."

2. Add something new on day 4

If you've heard nothing by day four, don't repeat yourself — add value instead. Send a relevant case study, a short before/after from a similar client, or a single useful tip that connects directly to their situation.

This positions you as someone who's already thinking about their business, not just chasing a signature. It also gives them a natural reason to reply without feeling pressured. Something like: "Thought of you when I saw this — it's exactly what we talked about solving."

3. Address the real objection on day 8

By now, the silence usually means something specific: budget concern, internal approval needed, a competitor in the mix, or plain decision fatigue. On day eight, name it directly.

Try something like: "Often when people need more time, it's because of X or Y. Is either of those true for you? Happy to adjust the proposal or talk through it." Giving them permission to say what's really going on almost always gets a response — and a real conversation is far easier to move forward than a ghost.

4. Create a soft deadline on day 14

Two weeks in, it's fair to introduce some gentle urgency. Not fake scarcity — something real. Your calendar, a price change, a project slot filling up. Be honest about it.

A good message here is short and warm: "I'm finalising my project schedule for next month and wanted to check in before I fill the last spot. Still keen to work with you — let me know either way." The phrase "either way" matters. It signals you're fine with a no, which paradoxically makes a yes more likely.

5. Send a clean break message on day 21

This is the most underused step in any follow-up sequence. Three weeks after your proposal, send one final message that closes the loop — warmly, with no guilt.

Something like: "I don't want to keep landing in your inbox, so I'll leave it here. If the timing ever works out, I'd love to pick this back up — just reply to this email." This does two things: it ends the sequence with your reputation intact, and it often triggers a response from people who felt bad about going quiet. You'll be surprised how many "sorry, we've been swamped — can we talk next week?" replies this one generates.

Timing cheat sheet:

  • Day 1 — Value recap
  • Day 4 — New value / relevant insight
  • Day 8 — Name the real objection
  • Day 14 — Soft deadline
  • Day 21 — Clean break

The sequence works. The hard part is remembering to actually run it — consistently, for every prospect, every time. When you're also managing the day-to-day, that follow-up discipline is the first thing to slip.

That's exactly the kind of task you can hand off to a Sidekyk. Just WhatsApp your AI the prospect's name, what you discussed, and when the proposal went out — your Sidekyk will draft each message, remind you when to send it, and keep the whole sequence on track so no deal goes cold by accident.
