1. Send a pre-call intake form — every single time

Most of the time you spend on discovery calls is actually spent gathering basic context you could have collected before the call started. Company size, current tools, biggest operational headache, rough budget range — all of that can live in a five-question form sent 24 hours before the call.

When a prospect fills it out, two things happen: you arrive prepared, and they arrive primed. They've already thought about their problems in concrete terms, which means the call can skip straight to diagnosis and solution. Aim for five questions max. Any more and completion rates drop.

2. Cap the call at 30 minutes and say so upfront

A 60-minute slot feels generous but actually gives both sides permission to ramble. When you book the call, tell the prospect it's a focused 30-minute conversation. Put it in the calendar invite: "This is a tight 30 mins — I'll have done my homework on your business beforehand."

  • Minutes 15–25: Explain — simply — how your AI solution addresses those specific problems.
  • Minutes 25–30: Agree on a clear next step (a proposal, a pilot scope, a follow-up call with a decision-maker).

You don't need a script. You need a map. Knowing exactly where you're going stops the conversation from drifting into hour-long AI philosophy debates.

4. Prepare a one-page "AI plain English" explainer

A huge chunk of discovery call time disappears into education: explaining what AI agents do, how they're different from ChatGPT, why it's not going to replace their whole team overnight. This isn't bad — it builds trust — but it shouldn't happen live if you can help it.

Create a single-page PDF or a short Loom video (under four minutes) that answers the five most common "wait, but how does it actually work?" questions. Send it with your intake form. Prospects who watch it arrive genuinely curious rather than defensively confused, and you reclaim 20 minutes of every call.

5. End every call with a binary next step

Calls run long because they end vaguely. "I'll send something over" is not a next step — it's a parking lot. Before you hang up, name one specific action and get a yes or no on it right there.

"I'll send a one-page scope by Thursday. If it looks right, can we get 20 minutes on Friday to confirm and talk timeline?"
